This policy applies to all Project staff, Directors, advisory board members, and any third parties involved in data processing, website management, and donation handling. The Project limits data collection to only what is necessary for connecting users with appropriate reporting portals.

The Project retains incident location data but does not seek or store personally identifiable or residential location data.

The 21st Century Green-Book Project (the Project) is committed to protecting the privacy and confidentiality of all users—including visitors, donors, and individuals accessing bias incident reporting resources. This policy outlines the procedures for handling information shared on the website.

The Project privacy policy only applies to the content and activities on the pages for this website, www.21stgb.org. It does not apply to other websites.

Be aware that the Project does not control the website privacy practices or settings for those sites. If you choose to go to another website from this website, via a link or some other method, you need to read that website’s privacy policy to determine how they protect your privacy and personal data. Visitors to 21stgb.org are encouraged to read those policies which may be different than our Project’s privacy policy.

How to navigate App usage & bookmarks for easy mobile access?

To avoid unnecessary data collection, the Project does not use traditional mobile applications. Instead, users can bookmark tab the website on their devices:

For iPhone (Safari):

  • Open Safari and visit 21stgb.org

  • Tap the Share icon at the bottom of your screen (square with an upward arrow)

  • Select scroll down to Add to Home Screen

  • Rename the bookmark if desired, then tap Add

For Android (Chrome):

What data is collected, retained, or used?

The Project does not directly collect or store bias crime reports. Instead, it connects users to appropriate federal, state, or nonprofit bias crime reporting portals. However, the Project collect the minimum necessary personal data necessary to fulfill the purposes for which visitors are at your site. And, as applicable, for website visitors who accepted cookies, data will also be collected for third party advertising and possibly other purposes.

To provide users with curated reporting options, limited location-based data may be used:

  • First name

  • Last name

  • Email address

  • Subject of email (please do not put your personal data in this field)

  • Message (please do not put your personal data in this field)

  • Zip code, city, or county

  • Bias classification (e.g., race, faith, gender, disability, national origin)

  • Users can select multiple categories or enter “Other” if needed

Where are bias incident reports submitted?

To submit bias reports, website visitors need to exit the Project’s website and visit the following sites, as appropriate to the type of report:

  • Government law enforcement portals (FBI, local agencies, etc.), each with its own privacy policy

  • Nonprofit advocacy organizations that collect bias incident reports

Use of Information

Purpose:

  • Information collected on 21stgb.org is used solely for the purposes described in this privacy policy and on the website.

  • The Project operates on an opt-in basis—users voluntarily provide data, and when leaving the Project’s website, the privacy policies of external sites will apply.

Confidentiality:

  • Any information collected or shared with 21stgb.org will be secured following security policies, and personal data will be kept confidential following privacy policies.

  • Data collected through third party cookies will be protected according to each of the associated third party’s privacy policies.

  • Data will not be shared beyond authorized uses, and the Project will comply with all applicable privacy legal requirements, including data protection, retention, disclosure, and individuals’ rights for accessing, correcting, deleting and obtaining a copy of their personal data, and other applicable requirements.

Data Security

Protection Measures:

  • Security measures include encryption, controlled access, secure storage, and additional safeguards as necessary to effectively protect data and associated technologies.

  • The Project will not use personal data collected by our website visitors to train AI, or for other purposes beyond which the data was entrusted to us.

Breach Response:

  • In the event of a data breach, the Project will follow breach procedures to respond promptly, appropriately, and notify affected individuals as soon as possible after necessary initial response activities.

  • Steps will be taken to mitigate the breach.
     

What to know about Information Sharing?

With Consent:

  • The Project does not share information that is collected on our site. See more information in the What are user privacy expectations? section:

  • Website visitors that choose to go to others sites (e.g., bias reporting entity, Wix.com, CHC Impact) may be asked to provide information at those sites. The Project has no control over how those other sites collect or protect data. Website visitors going to those sites need to read the privacy policies of those sites to learn how they may share your data that you provide to them.

Legal Compliance:

  • Data will not be shared beyond authorized uses, and the Project will comply with all applicable privacy legal requirements, including data protection, retention, disclosure, and individuals’ rights for accessing, correcting, deleting and obtaining a copy of their personal data, and other applicable requirements.

  • Interactions on https://21stgb.org has implemented privacy protections in compliance with applicable legal requirements.

  • The 21stgb.org privacy policies do not apply to other websites. If you choose to go to the CHC Creating Healthier Communities  or Wix.com websites, look at their associated privacy policies to determine the privacy protections they have implanted, and the legal requirements with which they must comply.

Reporting & Accountability

Reporting Violations:

  • The privacy policy will be regularly reviewed, at least once a year and as needed for legal and organizational changes, and updated appropriately.

  • The privacy policy may also be updated due to changes in security needs, new requirements from platform services provided by third parties, or other similar types of changes.

  • The date of review and any associated updates will be provided at the bottom of this privacy policy.

 

Accountability Measures:

  • Any violations of the privacy policy may result in disciplinary action, including termination of agreements, contracts, consultancy roles, employment, or removal from committees, councils, boards, or advisory positions.

 

What are the goal for continuous improvement?

Policy Review & Updates:

  • The privacy policy will be regularly reviewed and updated to reflect new developments in privacy regulations.

  • The privacy policy may be updated due to changes in security needs or new requirements from platform services provided by third parties.

Training & Compliance:

  • The Project ensures ongoing staff training in privacy and security policies and standards.

  • Advisory board members also receive instruction on compliance requirements to maintain security and privacy protections.
